What plain OCR gets wrong on a bank statement
Most OCR tools turn a scan into searchable text, and some will export that text to Excel. On a bank statement that copy of the page is where the work starts. A description that wraps onto a second line becomes a second row. The balance column runs into the amounts. A faint decimal point turns 250.00 into 250100.
Nothing checks the result either. If a row goes missing, the spreadsheet still looks complete, and you find out at reconciliation.
CapyParse reads the scan as a statement. Each transaction becomes one row, with wrapped descriptions joined back together. The rows are then added up and compared with the beginning and ending balances the bank printed. When they don’t match, you see it before you export.
Scans it reads
Statements rarely arrive as clean downloads. These are the ones clients actually send.
Office and phone scans
Pages from a copier, a desktop scanner or a phone scanner app. Upload them as a PDF, one statement or several in one file.
Pages scanned sideways
A page fed into the scanner on its side is read upright. You don’t need to rotate anything before uploading.
Faint or noisy copies
Grey streaks, low contrast and old photocopies. Because the rows are checked against the printed balances, a misread amount shows up as a mismatch instead of slipping into your books.
A year in one PDF
A file holding twelve monthly statements comes out as twelve statements, each with its own balances. If a month is missing from the run, it is flagged.
Several accounts on one statement
Combined checking and savings statements come out as one account each, so every account exports on its own.
Running balances and checks
When the statement prints a running balance, each row is checked against it, which catches a skipped or doubled line. Checks printed in their own table are included once.
From scan to spreadsheet
- 1Upload the scanned PDFs. Send one statement or a batch of them, up to 75 pages per file.
- 2Review each transaction next to the original page. Rows that need a second look are flagged.
- 3Export CSV, Excel or QBO. Each account comes out as its own file.
How to scan statements so they read well
- Scan at 300 DPI. Grayscale is fine.
- Keep the summary page. The beginning and ending balances on it are what the rows are checked against.
- Keep each statement’s pages together and in order. Several months can share one PDF.
- On a phone, use the scanner in iPhone Notes or the Google Drive app. Both straighten the page and save a PDF.
- If the bank’s PDF asks for a password, open it, print it to a new PDF, and upload that copy.
Review everything before you export
Every extracted transaction appears next to the original statement page, with anything unusual flagged for a second look. Nothing goes into your books until you have seen it.

Questions
Can CapyParse read a scanned bank statement?
Yes. Upload the scan as a PDF and every transaction comes back as a row with its date, description and amount. The rows are checked against the beginning and ending balances printed on the statement.
Can I upload photos of a statement?
Save the photos as a PDF first. The scanner in iPhone Notes or the Google Drive app does this and straightens each page as it goes. Then upload the PDF like any other statement.
How accurate is OCR on bank statements?
No OCR reads every scan perfectly, so the result is checked instead of assumed. When the rows add up to the printed ending balance, the statement matches. When they don’t, it is flagged so you can fix the row before you export.
Which banks does it work with?
It reads statements from more than 1,000 banks and credit unions, scanned or digital. There are no templates to set up for a new bank.
Is it free?
The demo on this page converts up to 6 pages a day with no signup. A free account adds 10 pages, batch uploads and Excel and QBO export. Paid plans cover higher volume.
